๐Ÿ“‚ Integration Sharepoint / OneDrive

Kraaft makes your life easier by automatically pushing the photos and documents from your conversations into the SharePoint or OneDrive folder of your choice ๐Ÿ˜ Your field teams keep working in Kraaft, and everything lands in the right place back at the office ๐Ÿ“‚

Setup happens on computer, and it's reserved for Owners and Administrators of the Kraaft workspace ๐Ÿ’ป

๐Ÿ“ค What syncs to SharePoint (and what doesn't)

Kraaft's SharePoint integration syncs the files shared in the conversation, and only those ๐Ÿง

  • โœ… Photos shared in a Kraaft conversation

  • โœ… Documents shared in a Kraaft conversation: PDF, Word, Excel, drawingsโ€ฆ

  • โœ… Photos and documents attached to a completed report ๐Ÿ“‹

  • โŒ Report exports โ€” the document generated from the fields you filled in

  • โŒ The Excel export from the database and the Word export of the conversation

๐Ÿ’ก Want to get your reports out of Kraaft?

These exports don't go through SharePoint, but you can download them from Kraaft in just a few clicks:

  • ๐Ÿ’ฌ The conversation export: the conversation as a Word file, the shared documents sorted into folders, and an Excel file of your completed reports โ†’ Make an export of my conversation

  • ๐Ÿ“„ The bulk download: you select your completed reports, pick your template, and receive a download link by email โ†’ Generate form report

  • ๐Ÿงฎ The Excel export from the database: a single file with all the data from your completed reports โ†’ Generate excel report from database

โš™๏ธ Step 1 โ€” Connect your SharePoint account to Kraaft

This step is mandatory: without it, no sync is possible ๐Ÿ”Œ

Before you start, choose carefully the Microsoft account used for the connection โ€” that's your root user ๐Ÿ‘ค

  • ๐Ÿ”‘ This account is the one authorising the Kraaft x SharePoint integration

  • ๐Ÿ‘ค Photos and documents copied from Kraaft to SharePoint are copied in its name

  • โš ๏ธ It must have access rights on the synced SharePoint or OneDrive folders โ€” without those rights, nothing comes through

Then you're all set:

  1. Go to Settings โ†’ Integrations, right here

  2. On the SharePoint row, click the three little dots on the right โ‹ฏ

  3. Click Connect ๐Ÿ”Œ

  4. Sign in with your Microsoft root user account in the window that opens

  5. Back in Kraaft, the ยซ Sync active ยป message confirms the connection โœ…

๐Ÿ’ก Check that the connection holds

Expand the SharePoint row in Integrations: you'll see your account, the last sync and the Token column. If the Token no longer shows Valid, the sync is interrupted โ€” simply reconnect the root account ๐Ÿ”ง

๐ŸŽฏ Step 2 โ€” Choose your sync method

Two ways to work, your call ๐Ÿง

  • ๐ŸŒ Global sync: your whole Kraaft workspace flows into a single SharePoint folder

  • ๐Ÿ”— Sync per conversation: each project goes into the SharePoint folder you assign to it

๐ŸŒ Sync your whole Kraaft workspace at once

You'd rather not connect your projects one by one? Kraaft pushes your entire workspace into a single folder ๐Ÿ“ฆ

  1. In Settings โ†’ Integrations, expand the SharePoint row

  2. On Global sync SharePoint folder, click Set โœ๏ธ

  3. Point to the SharePoint folder that will receive all the content of your workspace ๐Ÿ“‚

What it changes concretely:

  • ๐Ÿ—‚๏ธ Every conversation is included, archived conversations too

  • โช The sync is retroactive: conversations already created come through as well, not just the new ones

  • ๐Ÿ“ The folder hosting this content is created automatically in your SharePoint or OneDrive, sorted conversation by conversation

  • ๐Ÿ“ฆ It's the best option when you want to retrieve all the files shared across your Kraaft workspace

๐Ÿ’ก Our tip

Right after setting your folder, check the share link attached to this sync ๐Ÿ” With the right link and the right rights on the Microsoft side, your content lands in the right place from the very first sync โœ…

๐Ÿ”— Sync one Kraaft conversation with a SharePoint folder

You want one specific project to flow into one specific folder? That's the conversation-by-conversation method ๐ŸŽฏ

First, get the share link of your SharePoint folder:

  1. On SharePoint, go to the folder that will receive the content, for example a ยซ Kraaft connection ยป folder ๐Ÿ“‚

  2. Click Share, then copy the share link ๐Ÿ”—

Then paste it into your Kraaft conversation:

  1. Open the Kraaft conversation concerned ๐Ÿ’ฌ

  2. Top right, open the Info tab

  3. Scroll down to the Advanced block, then select SharePoint

  4. Paste the share link, then confirm โœ…

A button then lets you go straight to the SharePoint folder connected to this conversation ๐Ÿ“‚

๐Ÿ—ƒ๏ธ How your Kraaft content is organised on SharePoint

Your content arrives tidy, not in bulk ๐ŸŽฏ Everything starts from the Kraaft - your workspace name folder, which holds one folder per Kraaft conversation.

Inside each conversation folder, you'll find three folders:

  • ๐Ÿ“ Folders: the exact naming and structure of the folders created in the Kraaft conversation

  • ๐Ÿ—‚๏ธ Uncategorised files: two subfolders separating unsorted documents and photos

  • ๐Ÿ“‹ Reports: one folder per report type, and inside each, one folder per completed report that holds an attached document or photo

โš ๏ธ Good to know โ€” If you rename a conversation in Kraaft, the matching folder doesn't change name on SharePoint. Remember to rename it on your side to keep your folders aligned.

๐Ÿ”ง Restart, stop or disconnect your SharePoint sync

You stay in control at any time, at two levels:

On the whole connection, with the three little dots โ‹ฏ on the SharePoint row in Settings โ†’ Integrations:

  • ๐Ÿ”„ Resync: restart the sync when content seems to be missing on the SharePoint side

  • ๐Ÿ”Œ Disconnect: cut the connection between Kraaft and your SharePoint, and therefore the sync of all your conversations

On a single conversation, from its Info tab:

  • โน๏ธ You stop the sync of that conversation only, the others carry on as usual

๐Ÿ’ก Stopping the sync deletes nothing

In both cases, the files already pushed stay in place on SharePoint ๐Ÿ“‚ Only the sync stops: nothing new comes through from that moment on.

๐Ÿ”’ Limit Kraaft's access to your SharePoint

Kraaft reaches the SharePoint sites the connected account can reach itself ๐Ÿง If your IT department wants to narrow that scope, it's entirely possible.

  • โœ… The simplest solution: create a dedicated Microsoft account (often called a service account) and use it for the Kraaft connection

  • ๐Ÿ” Kraaft will then only reach the SharePoint sites accessible to that account, and nothing else

  • ๐Ÿ”ง A finer configuration is possible for large accounts, with a dedicated Microsoft application and restricted rights
