📄 Customize the name of your exported report (PDF, Word, Excel)

Customize the names of your reports to make everything much more organized

💡 What exactly are we talking about

This is the name of the file you download — not the title of the filled-out report, nor the name of the report template, nor the name of the export template.

Tired of default export names that don't really reflect your organization? Good news! With Kraaft, you can customize the names of your reports to make everything simpler, more practical, and... much more organized. It's super easy to do! 😎

The basic principle:

When you fill out a report on Kraaft, you can export it as a PDF. By default, it has a generic name, but the good news is that you can easily change this name by adding information such as the date, the location of the construction site, the person in charge of the task, or any other detail! It's a simple way to adapt the nomenclature of your exports, organize your reports, and be faster when you're looking for a document 🔎

🔤 The steps to customize your export name:

For the first step, everything happens from the Menu on the left, in the "Reports" tab 💪 (accessible as an admin or account owner only), then:

  1. Select the report you want to customize 🖌️

  2. In the Exports section, you'll find your list of available export templates: each template can have a custom export name!

  3. Click on the three small dots next to the template you've chosen: there, you'll see the "Customize export name" option ✍️

  4. Customize the name of your export as you wish! You can add fixed text and dynamic fields via the @ mention — both fields from the report and fields from the conversation 🔖

  5. Once you've chosen your custom name, click Validate to save your new export name and make it permanent 🎉

👀 To remember

You can use specific fields in the custom name of your export, such as the report date, project location, or other details specific to the report. This helps you stay super organized and find your reports in just a few seconds 📅🌍

⚠️ Note that some fields can't be used in a file name — their content can't be converted into text 🚫
