Kraaft makes it easy to manage your jobs by letting you add reports directly to the planning πŸ’‘ No more double entry: create your task in a conversation, assign it to a team member in the planning, and your team knows exactly what to do and where to go πŸ“

The planning now shows much more than just worksites ⬇️

  • πŸ“‹ Your tasks and reports are visible directly in the planning β€” no need to dig through each conversation

  • ✍️ They fill in the report directly from the planning β€” without going back to the conversation

ℹ️ What to know before assigning reports in the Kraaft planning

  • πŸ’» Administrators and owners can assign and edit reports in the planning from the web

  • πŸ“± Members with the Standard role can view their planning and fill in their reports from the mobile app

  • βœ… The Planning module must be activated on your Kraaft workspace

  • πŸ“Ž A report is always linked to a conversation β€” you can't plan a report without an associated conversation


πŸ’» Choose which reports to display in the Kraaft planning (web)

Not all report templates need to appear in the planning 🎯 You can choose exactly which ones show up.

  1. From the Planning tab, click the 3 dots at the top right

  2. Click Manage

  3. Open the Report templates tab

  4. Show or hide the report templates of your choice πŸ‘οΈ

πŸ’‘ Tip: You can also show or hide a report template directly when assigning a report in the planning.

πŸ“₯ Step 1 β€” Fill the β€œReports to do” row

The β€œReports to do” row is your working list: all the reports to plan before assigning them.

From this row, 2 options:

  • βž• Create a new report β€” choose the template, the linked conversation, and decide right away whether to assign it to someone or not

  • πŸ“‹ Add an existing report β€” select a report already in a conversation to display it in the planning

β†’ πŸ‘· In the Resource view, the row groups all reports
β†’ 🚧 In the Worksite view, they are sorted by conversation β€” handy to see at a glance what's left to do per worksite!


πŸ‘₯ Step 2 β€” Assign to a team member

  • From the Resource view πŸ‘·
    Drag the report directly onto the team member in the planning

  • From the Worksite view πŸ—οΈ
    Click the red bubble to quickly assign a team member

⚠️ You can move a report from one team member to another or from one day to another πŸ“… However, it is not possible to change the conversation a report is linked to.


πŸ“± View and fill in reports from the Kraaft planning (mobile)

Your team accesses their personalised planning from the mobile app πŸ“± They see everything they need to do that day at a glance.

And to fill in the report ⬇️

  1. Tap the report in the planning

  2. The report opens directly, showing:

    • πŸ“‹ The report title to complete

    • πŸ“… The date and time of the job (specific to the planning, independent from the report fields)

    • πŸ’¬ The linked conversation (worksite)

    • πŸ“ The location linked to the first geolocation field in the report

  3. Fill in the fields and confirm πŸ“

πŸ’‘ Planning ↔ report sync

The report title and location are synced between the planning and the conversation. Update either from the planning and it updates in the report β€” and vice versa.

  • βœ… For checkable reports, the check status is also visible and synced in the planning

  • πŸ”Ž Note: the Responsible field is not synced β€” assigning a report to someone in the planning does not fill in the user field in the report
