Kraaft lets you export your reports in Excel format using a custom template!
Create your template once, and use it at every export — in Excel or PDF format 📤
🛠️ Creating your Excel template in Kraaft
Unlike the Word format, there is no default Excel template in Kraaft, you create your own in just a few simple steps:
Open a blank Excel file — or start from an existing template ✨
In Kraaft, go to your report editor and copy the tags of the fields you want to include
Paste these tags into the cells of your choice in the Excel file
Save your Excel file 💾
Back in Kraaft, in the "Exports" tab of your report:
Click "Add a template" ➕
Import your Excel file and give it a name
Activate the template before testing it! ✅
📤 Exporting a report with your Excel template:
Your activated template is available at every export: when downloading a report, select it from the list and choose your format: Excel or PDF!
💡 For a single report, you can have both Word and Excel templates active at the same time.
📋 Available tags in an Excel template
In your Excel template, you can use the same tags as in your reports → Report tags 🔗
📌 A few important Excel-specific rules to know:
⚠️ Key rule: 1 tag = 1 cell
|
🖊️ Signature tagThe ##signature## tag splits into 2 parts in Excel:
Just like photos, the signature adapts to the cell size — remember to enlarge the cell for the best result 📏 |
📸 Photo tagIn Excel, only the ##photos## tag is supported. Photos automatically adapt to the cell size — enlarge the cell for a better display! If multiple photos are added to the same field, they appear side by side in the export 🖼️ |
⁉️ Conditional tagsThe ##IF field name$visible## and ##END-IF## tags are not available in Excel — they only work in Word. Using them in an Excel template will cause an error at export 🚫 |
🧮 Formulas and calculations in your Excel template
Excel formulas work in your Kraaft templates ✅ You can add up hours, calculate totals, format your data...
⚠️ Key point: formulas and calculations do not appear when you export your report as a PDF — they only work when exporting as an Excel file 📊

💡 Layout and best practices
A few tips for a well-built Excel template 🎨
Photos and signatures → increase the cell height for optimal display 📏
Cell colors → apply the color to the entire cell (not just the text) for the tag to work ✅
Multiple sheets → hide unused sheets (right-click > Hide) — they will stay invisible in the PDF export 👁️
Cross-sheet references → use the syntax Sheet1!A1 to reference a cell from another sheet 🔗
📊 Exporting a Kraaft Table Field in Excel
The Table Field in Kraaft generates as many rows in your Excel as there are entries filled in the report 📋 Perfect for attendance sheets, material lists, punch lists...
⚠️ Watch your layout: the table rows overwrite the content below them. To avoid issues:
Plan the number of rows you will need in your template ✏️
Or place the table at the end of the sheet
Or dedicate an entire sheet to the table
