If you want to take your conversations to the next level, good news: it’s possible to fully customize your conversations on Kraaft! We'll show you how, with tips and tricks to help you level up. Ready to customize to your fullest?


🎨 Create a Custom Conversation Template

You can create a conversation template and make it truly unique 🌍

This template will be used for all your new conversations, with fixed information that you can set in advance: fields, descriptions, images—anything you want!

💬 Here’s how to create and customize your conversation template:

🖥️ From a computer:

  1. Left menu: Click on the left menu in your Kraaft interface.

  2. Settings: Go to Settings > Conversations

  3. Access the customization space: You’ll be redirected to the dedicated customization page where you can create and personalize your conversations

  4. Add fields and customize: This is where you can add fields like text, images, multiple-choice options, and even add field descriptions!

  5. Fields are automatically added: Once your template is set up, every conversation will be based on this template and these fields. Easy, right?

🏷️ Available Field Types for Conversations

To add different types of important information to your conversations, Kraaft offers several field types. It’s a great way to organize your info the way you want!


Here’s what you can add:

Section: Group several fields under one section to structure your report.
Example: "Client Information"

Short Text: For brief information on one line.
Example: "Lighting Reference"

Long Text: For more detailed information on multiple lines.
Example: "Description before work"

Number (without unit): To record quantities, without specifying a unit.
Example: "Staff count"

Currency (with unit): To record an amount with a specific currency (e.g., €, $, etc.).
Example: "Lost time"

Single Choice: Select one option from several.
Example: "Task Category (studies, work, finishes, etc.)"

Multiple Choice: Select several options from a list.
Example: "Approval circuits"

Date: Select a specific date for this item.
Example: "Start date"

Created Date (Auto): Automatically records the date the conversation was created.
Example: "12/12/2025"

User (single or multiple choice): Choose one or more users from the list.
Based on the list of kraaft members

Created by (Auto): The name of the person who created the conversation is added automatically.
Example: "James Turin"

Checkbox: A field to mark a task or action as completed.
Example: "Done ✅ / Not done 🔲"

Geolocation: Provides a location with GPS coordinates.
Example: "Delivery location"

Note: These fields are similar to the report fields!


⚙️ Additional Tips to Customize Conversation Fields

Conversation fields offer various customization options to make your conversations even more suited to your needs. Find out what you can do to go further:

  • Conditional Fields:
    Want certain fields or sections to appear only in specific situations? Easy! For example, a field can appear only if a certain condition is met (such as the presence of an AEP network on-site or based on the client’s name). It works the same way as conditional reports!

  • Fixed Descriptions:

    Add fixed instructions or descriptions to your fields. Perfect for keeping everyone on the same page (and avoiding repeating the same instructions every time). Example: safety instructions or tool usage guidelines.

  • Sections:

    Group your information into separate sections for maximum clarity. Example: a section for client info, another one for all the details on how to reach the site. You decide how to organize everything!

  • Tags in Report Exports:

    Use field tags to automatically insert conversation info into your exported reports. For example, the project address in the conversation can be directly integrated into your Word export. Convenient, right?

📝 Display Options and Visual Customization

  • Display in Conversation List

    You can customize the appearance of your conversations by displaying one or two fields directly below the name of each conversation (e.g., date, person in charge, status, category). It’s quicker to access the essential information without opening each conversation!

  • Customize Word Export

    Need a stylish Word export for your conversation? No worries! Customize the export of your conversations by adjusting the layout. It works the same way as customizing a report export :)

⚠️ Be Careful with Deleting Fields

One thing to keep in mind: if you delete a field in a conversation or report, it will be removed everywhere it’s used. We recommend double-checking before deleting a field in a conversation template to avoid losing crucial information in all existing conversations.
