Kraaft makes your life easier: build your list once, then reuse it across all your reports πŸš€ No more double entry and info scattered across three different places!

A reference list isn't just a simple choice list: each entry can have several properties (phone number, job, license, price...) πŸ’‘

A few concrete examples:

  • πŸ—οΈ A list of suppliers with their contact details and prices

  • πŸ”§ A list of equipment with its references

Build your list once, fill it in, and drop it into as many reports as you want βœ… Update it once, and it updates everywhere it's used!


πŸ› οΈ Create your reference list

  1. In the left menu, click Reports

  2. Go to the Reference lists tab

  3. Click New list πŸ†•

  4. Name it and confirm βœ…

βš™οΈ Set up and fill in your reference list

πŸ“‹ To set up your list's fields:

  1. Click on your reference list

  2. Go to the List tab

  3. Add the fields you want to appear for each entry

You'll find the same field types as in a report template 🎯

For example, for a list of team members: name, phone number, job, and driving license βœ…

✏️ To fill in the list:

  1. Go to the Entries tab

  2. Click Add an entry at the bottom left of the page

  3. Fill in the information just like in a regular table

πŸ’‘ You can also paste several rows straight from your spreadsheet: click the first cell of the entry, then paste your Excel table πŸ“‹ If you paste more rows than there are entries, Kraaft automatically creates the missing ones!


πŸ”— Use your reference list in a report template

Head to your report template to connect your reference list πŸš€

  1. From the left menu > Reports > open the report template where you want to add the reference list

  2. Add a Reference list field to the template

  3. Choose whether to allow single or multiple selection

  4. Select the reference list you just created

Display data linked to your reference list

Want to automatically display info from your list in the report, like a team member's license? 🧐 Here's how:

  1. Add a List linked data field to your template

  2. Choose your Reference list field as the source

  3. Select the data to display
